Will my email address change? Will I get an @gmail.com email address?
We are standardizing our format for email addresses (first name initial + last name @holyname.org), so the first portion of your address might change. You will retain the @holyname.org domain and will not receive a @gmail.com address.
If my email address changes will I continue to receive messages sent to my old address?
Yes, your old email address will be retained as an “alias,” so if someone sends an email to your old address you will receive it in your G Suite inbox.
Will my password change?
Yes, you will be required to reset your password prior to logging in to G Suite.
When is this change happening?
We are targeting September 2019 for the company-wide rollout.
Will I lose my old emails and calendar events?
No, your existing emails, folders, calendar events, and contacts will be migrated from Lotus Notes to G Suite.
Will I lose the folder structure in my Lotus Notes email?
No, your existing folder structure will be migrated from Lotus Notes to Gmail.
I have a personal Gmail account, will my work and personal emails be mixed together?
No, this change will not impact your personal Gmail account in any way and your work data will remain separate from your personal Gmail data.
Will there be a period of time where I need to use both Gmail and Lotus Notes?
Yes, but only if you are in our first two phases of Gmail users (core project team or early adopters). You will need to reference Lotus Notes to view calendar free/busy information, book conference rooms, and access any secondary/delegated mailboxes until the company-wide rollout in September. In September all calendars, rooms, and mailboxes will be moved to G Suite and you will no longer need to reference Lotus Notes.
If I want to can I continue using Lotus Notes for email after the switch to G Suite?
No, you will need to use Gmail to send and manage email. However, you can continue to reference your old Lotus Notes mailbox after the switch.
Can I use a different email client (like Outlook, Apple Mail, Kiwi, etc) to manage my HNMC inbox?
No, for support and security reasons Gmail will be the only approved email client after the switch to G Suite.
Why are we making this change?
With G Suite, we can take advantage of a robust and innovative solution, and benefit from improved access to email, calendar and documents from any device/computer with an internet connection. What is G Suite?
G Suite is a set of web-based communication, storage and productivity tools that Google provides as a "service," rather than as software you have to download and install. You can access your email, calendar and documents anytime, anywhere, from an internet-connected device.
Will I lose access to Microsoft Office (Word, Excel, PowerPoint, etc) applications after the switch to G Suite?
No, there are no plans to remove Microsoft Office applications at this time.
Will I lose access to my ISFS (aka. H Drive, Network Drive) folders?
No, there are no plans to change or remove access to the ISFS.
I have a large personal address book, will all my contacts and groups be migrated over to Gmail?
Yes, but only if they are synced with the Lotus Notes server. If your contacts were not migrated automatically you can export them from Lotus Notes and then import them into Google Contacts.
Will any mail rules I have created be migrated over to Gmail?
No, existing rules will not be migrated, but they can be recreated using the “filters” feature in Gmail.
I have 3 mail archives dating back 10 years will they be migrated to Gmail? If not how will I access those older emails when I need them?
We are not currently planning to migrate archives over to Gmail. However, you can continue to open up Lotus Notes and view your archives, even after the switch to Gmail.
It seems like there is a delay for me to receive a new message. Does it take longer to receive new messages in Gmail?
If you are an early adopter of G Suite you may experience up to a 5 min delay for messages being forwarded from Notes to G Suite. This delay will go away after September when the entire organization has moved over to G Suite.
Is there a way to flag messages I send as important?
No, Gmail does not have a feature for this. Even with Lotus Notes recipients outside of HNMC may or may not have been able to see the flag. We recommend starting the subject of the email with “Important:” moving forward.
Can I save an email as a template?
Yes, you can do this using the Canned Responses feature in Gmail.
